Privacy Policy

The short version: we collect what's needed to run your academy's portal, we don't sell it, and every academy's records stay separate from every other academy's. The long version is below.

1. Who this policy covers

This policy applies to 1 Digital Academy, the student portal product built and operated by Genroar. It covers the academies (our customers), and the staff, teachers, students and parents who use a portal set up on an academy's account. If your academy runs its own public website through our Website module, that site's visitors are covered here too.

2. What we collect

To run attendance, fees, results and admissions for an academy, the portal holds: student names, dates of birth, class and section, guardian names and phone numbers, attendance records, fee invoices and payment history, exam marks and report cards, and messages sent through the portal. Staff accounts hold a name, role, phone number and login details. If an academy uses the admissions form on its public website, we also collect what an applicant submits there — name, contact details and the information asked on that form.

We also collect ordinary technical information needed to keep the service running — login timestamps, device and browser type, and basic usage logs for troubleshooting.

3. Who enters this data

Mostly the academy itself — its office staff and teachers enter students, mark attendance, and record fees and marks, the same way they would in a register or a ledger. During onboarding, our team may enter this data on the academy's behalf from a sheet or list the academy provides, so the academy is live faster.

4. How we use it

We use this information only to operate the portal: showing a parent their own child's attendance and results, sending fee reminders and receipts, processing online payments, sending SMS and WhatsApp notifications the academy has switched on, and giving academy staff the reports they need. We don't use student or parent data for advertising, and we don't build marketing profiles from it.

5. Who we share it with

We share data only where it's needed to deliver the service: payment processors (JazzCash, EasyPaisa, card networks) when a parent pays a fee online, our SMS/WhatsApp provider when a notification is sent, and our hosting and database providers who store the data on our behalf under contract. None of these providers are allowed to use academy data for their own purposes. We don't sell data, and we don't share one academy's records with another academy.

We may disclose information if required by law, or to protect the safety of a student, staff member or the public.

6. Data separation and security

Every academy's data lives in its own account and is never visible to another academy. Parents can only see their own children; teachers see only the classes they're assigned to. Access to the underlying systems is limited to the Genroar engineers who maintain the platform. Data is backed up regularly and passwords are stored encrypted, never in plain text.

7. How long we keep it

We keep an academy's data for as long as the academy has an active account, plus a reasonable period afterward in case the academy wants to come back or needs a historical export. If an academy closes its account and asks us to delete its data, we do so, except where we're required to keep financial records for a legal retention period.

8. Your choices

An academy can export its students, attendance, fees and results to Excel at any time from the admin panel, and can ask us to delete its data on closing an account. A parent or staff member who wants to correct or remove their information should contact their academy's office first, since the academy controls its own records; we're happy to help the academy action that request.

9. Children's information

Because this is a school portal, most of the data we hold is about children. We only collect what's needed for attendance, fees and academic records, and only an academy's own staff and the child's own parent can see it. We don't use children's data for any purpose beyond running the portal.

10. Changes to this policy

If we make a material change to how we handle data, we'll post the update here and notify academy admins by email or WhatsApp. Continuing to use the portal after a change takes effect means you accept the updated policy.
